Claude for Small Business vs ChatGPT: Which One Actually Runs Your Back Office?
Claude ships 15 named workflows wired to QuickBooks and HubSpot. ChatGPT ships a bigger toolbox you build yourself. Prices, facts and a plain verdict.
Pick Claude for Small Business if you want your admin jobs done and you do not want to build anything. It arrives with 15 named workflows already wired into QuickBooks, HubSpot, PayPal, DocuSign and Canva. Pick ChatGPT Business if you want one broad tool for the whole team, you already live in Microsoft 365 or Google Workspace, and you are happy to set up your own routines.
Both cost about the same. The difference is not brains. It is how much setup is done for you before you start.
We are ES Studios. We set up both for small businesses, so we have no reason to talk either one down.
What Claude for Small Business is
It is not a new product and not a new price tier. It is a plugin you switch on inside Claude Cowork. Anthropic calls the plugin smb-complete. It launched on 13 May 2026.
You install it from the Claude desktop app. Open Cowork, choose Customize in the sidebar, click + under Plugins, find Small Business, click Install. There is nothing to download and no extra bill. Anthropic's install tutorial lists the steps.
What you get is 15 slash commands. You type the command and Claude runs the job. These are the real names, all fifteen:
- Money:
/plan-payroll,/month-heads-up,/close-month,/price-check,/tax-prep - Sales:
/call-list,/sales-brief,/crm-cleanup - Marketing:
/run-campaign - Customers:
/handle-complaint,/customer-pulse-check - Running the place:
/review-contract,/monday-brief,/friday-brief,/quarterly-review
In Anthropic's own words, /plan-payroll will "forecast cash and chase overdue invoices". /close-month will "reconcile and write the P&L narrative". /monday-brief gives you a "start-of-week snapshot of cash, sales, pipeline, and your top three to-dos".
Underneath sit 15 smaller skills that switch on by themselves: cash-flow forecasting, margin analysis, lead triage, invoice chasing, contract review, customer sentiment and tax prep among them.
What ChatGPT for business is
ChatGPT Business is a shared workspace for a team. It used to be called ChatGPT Team; OpenAI renamed it on 29 August 2025.
A seat includes all of ChatGPT, plus ChatGPT Work and Codex. OpenAI's business pricing page lists what comes with it: connections to "Google Workspace, Slack, GitHub, Microsoft 365, and more", a secure workspace with SAML, SSO and MFA, central billing, usage analytics and spend controls, "no training on your business data by default", and "workspace agents for customized workflows".
The feature grid on that page also shows Company knowledge, Projects, scheduled tasks, Skills (beta), a built-in browser, and extensions for Excel, PowerPoint and Google Sheets.
Here is the honest gap. OpenAI does not ship a set of named small-business workflows. There is no /close-month. You get a very capable workspace and you build your own routines in it. That is a difference in effort, not a knock on the software.
What each one plugs into
This is where the two split hardest.
Anthropic's launch post names seven partner integrations: QuickBooks, PayPal, HubSpot, Canva, DocuSign, Google Workspace and Microsoft 365. On top of that sits Claude's wider connector library, which includes Slack, Gmail, Google Drive and Google Calendar. The workflows are built against those tools, so /close-month already knows where your books are.
For ChatGPT, the named connections on OpenAI's business pricing page are Google Workspace, Slack, GitHub and Microsoft 365, plus "and more". OpenAI does not name QuickBooks, HubSpot, PayPal or DocuSign on that page. There is a Plugins Directory inside ChatGPT where you check what is available on your plan, and an Apps SDK so a developer can build a connection to your own systems using MCP.
So ChatGPT can probably reach your tools. Someone has to wire it up. Claude was built around those accounting and CRM links.
Who presses the button
Both tools have a brake. Anyone telling you only one of them asks before acting is wrong.
Anthropic's wording is: "Every task and workflow you run within Claude is initiated by you. You approve the plan first or, when you're ready, let it run end-to-end." So you start it, you approve the plan, and letting it run without step-by-step sign-off is a choice you make later.
ChatGPT works per action. Its default setting is called Important actions. ChatGPT reads from a connected app on its own, but asks first before anything with "a meaningful effect outside ChatGPT": sending an email, deleting something, making a purchase. You can tighten it to Always ask or loosen it. Admins can lock those settings for the whole workspace.
ChatGPT also does something Claude's small-business workflows do not. It can run a task when an event fires: a new Gmail message, a new Slack channel message, GitHub pull request activity. That is genuine hands-off automation.
Our opinion: Claude's approval is easier for a non-technical owner to follow, because you are approving one plan for one named job. ChatGPT's is more flexible and better for a team, because an admin sets the rules once for everybody.
What it costs
Claude for Small Business costs nothing extra. It is included with a paid Claude plan. You pay for the seat and for whatever partner tools you already use. It runs on Pro, Max, Team or Enterprise, and needs the Claude desktop app.
The prices land close together.
| Claude for Small Business | ChatGPT Business | |
|---|---|---|
| What it is | Plugin inside Claude Cowork | Team workspace plan |
| Named pre-built workflows | 15 slash commands | None published |
| Partner integrations named by the vendor | QuickBooks, PayPal, HubSpot, Canva, DocuSign, Google Workspace, Microsoft 365 | Google Workspace, Slack, GitHub, Microsoft 365 |
| One-person plan | Claude Pro, $20/mo ($17/mo annual) | ChatGPT Plus, $20/mo |
| Team seat, billed monthly | $25 per seat | $25 per seat |
| Team seat, billed annually | $20 per seat | $20 per seat |
| Higher-usage seat | Team Premium, $125/mo ($100 annual) | Premium seat, $125/mo ($100 annual) |
| Team size | 2 to 150 people | 2 to 200 employees |
| Cost of the small-business features | $0 on a paid plan | Included in the seat |
Claude plan prices come from claude.com/pricing. ChatGPT Business seat prices come from OpenAI's business pricing page, which states "$20/month if billed annually. $25/month if billed monthly" for a Standard seat and "$100/month if billed annually. $125/month if billed monthly" for a Premium seat. A ChatGPT Business workspace needs at least two seats.
On the individual side, ChatGPT Plus is $20 a month and ChatGPT Pro comes in two tiers, $100 and $200 a month. Claude Max starts at $100 and $200 a month. Both companies have a free plan, though the Claude small-business plugin needs a paid one.
The team seat prices are the same to the dollar. Price is not the deciding factor.
Where ChatGPT is the better choice
We would put a client on ChatGPT, not Claude, in these cases.
- Your work is docs, decks and spreadsheets. ChatGPT Business includes extensions for Excel, PowerPoint and Google Sheets, and OpenAI pitches ChatGPT Work at "polished docs, decks, and spreadsheets".
- You have a team and want one tool for everything. A ChatGPT Business seat also covers Codex for coding. If someone on staff builds or maintains software, that is one subscription instead of two.
- You want things to fire without you. Tasks triggered by a new Gmail or Slack message are a real capability, and the small-business workflows in Claude are ones you start.
- You need image generation, voice chat or voice with video. Those are on ChatGPT's published plan pages.
- You want to connect an odd system. The Plugins Directory and Apps SDK give a developer a clear path to your own tools.
- Your staff already use it. Adoption beats features. If everyone knows ChatGPT, moving them is a cost you should not pay without a reason.
Where Claude is the better choice
- You are the owner and the admin department. Fifteen jobs are already named and built. You are not designing a system, you are typing
/monday-brief. - Your money lives in QuickBooks and your leads in HubSpot. Those are two of the seven named launch partners, and the finance workflows assume them.
- Month-end is the thing you dread.
/close-month,/tax-prepand/plan-payrollpoint straight at it. - You want to see the plan before anything happens. Approve first, then loosen it once you trust the thing.
Our verdict by business type
This is our opinion, from setting these up for real businesses.
- Contractor or home-service business, 1 to 10 staff. Claude. Your admin is invoices, chasing money, quotes and a CRM full of dead leads. That is what the 15 workflows cover.
- Professional services: accountant, lawyer, consultant. Claude, for
/review-contract,/close-monthand/tax-prep. Check your own client-confidentiality rules first. - Retail or e-commerce. ChatGPT. Neither company names a till or store platform, so you are building that connection either way, and ChatGPT gives you more room to build.
- Marketing or creative agency. Close call. Claude if you want
/run-campaignproducing Canva assets. ChatGPT if you are producing decks and documents all day. - Team of 15 or more already on Microsoft 365 or Google Workspace. ChatGPT. The admin controls and the per-action permissions are built for that.
- Solo owner, no staff, tight budget. Claude Pro at $20 a month. You get the whole small-business plugin for no extra money, and ChatGPT Business needs two seats.
Still torn? Run a real week of your own admin through both. Your actual month-end tells you more than any comparison page, including this one.
How we set them up
Installing a plugin takes two minutes. Getting useful work out of it takes longer, and that is where most owners quit. Connectors need authorising properly. Workflows need pointing at your chart of accounts and your CRM stages. Someone has to decide what the tool may do without asking.
ES Studios does that setup for you, for whichever of the two fits your business. We will tell you if the answer is ChatGPT. We would rather set up the right tool than sell you the wrong one.
Common questions
Is Claude for Small Business free?
The plugin costs nothing extra, but you need a paid Claude plan to use it: Pro, Max, Team or Enterprise. Claude Pro is $20 a month. So the honest answer is free on top of a subscription you are already paying for.
Do I need Claude Team to use it?
No. It runs on Pro, Max, Team or Enterprise, and you need the Claude desktop app with Cowork available. A single owner on Pro can use all 15 workflows.
Which one is cheaper?
Neither, at team level. A Claude Team standard seat and a ChatGPT Business standard seat are both $25 a month billed monthly, or $20 billed annually. The higher-usage seats are both $125 monthly and $100 annually. Choose on fit, not price.
Can ChatGPT connect to QuickBooks?
OpenAI does not name QuickBooks on its business pricing page, which lists Google Workspace, Slack, GitHub and Microsoft 365 "and more". Check the Plugins Directory inside your own ChatGPT account, because what you can install depends on your plan, workspace and region. Anthropic does name QuickBooks as one of its seven launch partners.
Will either one do things without asking me?
Both ask by default, and both let you turn that down. Claude has you approve the plan before a workflow runs, and lets you allow end-to-end runs when you are ready. ChatGPT reads from connected apps on its own but asks before actions with a meaningful effect outside ChatGPT, and an admin can change that for the whole workspace.
Can I use both?
Yes, and some of our clients do. One paid Claude plan for the finance and admin workflows, ChatGPT seats for the team's day-to-day writing and documents. That is roughly $45 a month per person, which is only worth it if both tools are genuinely being used.
Is Claude for Small Business a separate app?
No. It is a plugin inside Claude Cowork called smb-complete. You switch it on from the Plugins section under Customize. There is no separate download and no separate login.
